Form fields for the e-invoice

Gravity Forms EN16931 Fields

If you collect data for an e-invoice with Gravity Forms, you need the right codes: for countries, currencies, units of measure and much more. Gravity Forms EN16931 Fields brings 17 of these code lists into your forms as ready-made choice fields. With one click, a field holds every country code, every currency or every unit, and you no longer have to build a list by hand.

Some background: an e-invoice is an invoice as a structured file that a program can read. The European standard EN 16931 defines which details it contains. Many of these details may only take values from a code list. A code list is a defined list of allowed values, for example the currency codes. Gravity Forms is a form plugin for WordPress.

Who it is for

For anyone who collects invoice data in a form.

The plugin is for anyone who uses Gravity Forms to gather details for an e-invoice, for example in an order form. These details have to match the defined codes, or the receiving program cannot process them. With the plugin, the codes are available right away, and your visitors still choose from descriptions they understand.

field types that store the scheme identifier along with the value
The plugin at a glance: 17 code lists and four dedicated field types for the e-invoice.

What it does for you

  • 17 code lists, ready to insert. In the form editor you pick a list, and the choice field is filled. Included are EAS, ICD, ISO 3166 (countries), ISO 4217 (currencies), MIME, the UN/ECE Recommendations 20 and 21, the UNTDID lists 1001, 1153, 2005, 4451, 4461, 5189, 5305, 7143 and 7161, and VATEX. This saves you tedious typing and keeps typos out of the codes.
  • Readable for the visitor, correct for the invoice. The visitor sees the description, and the code is stored. The visitor picks “Andorra”, for example, and the entry holds “AD”. An entry is a submitted form as Gravity Forms stores it.
  • Four field types for the e-invoice. The plugin adds the field group e-Invoicing Fields with the types text, paragraph, drop down and email.
  • The scheme identifier is stored right along with the value. Under the standard, many identifiers, such as a company number, require a scheme identifier. It states under which system the identifier was issued. Each of the four fields has the settings Reference list and Scheme identifier for this. On submission, the plugin stores the chosen scheme identifier in the entry together with the entered value, so both are available together later on.

What it does not do

  • It does not check whether an entered value fits the chosen scheme identifier. A GLN with a wrong check digit is stored like any other input. The GLN is an identifier for companies and locations.
  • It does not create an e-invoice itself. That is the job of the plugins eInvoice Generator for Gravity Forms and eInvoice Generator for Gravity PDF, which are introduced below.
  • It does not translate the code lists. The descriptions appear as the lists deliver them: the country names are in German, and every other description is in English.

In the form

How it works.

1 · Insert a field
in the form editor
2 · Pick a code list
for example countries
3 · Visitor chooses
“Andorra”
4 · Code is stored
“AD” in the entry
How a code gets into the form: you insert the field and pick the list, the visitor chooses a description, and the matching code is stored.
